XeBee e-Release
Using this electronic HIPAA-compliant medical authorization form means you no longer need to worry about getting your client to sign paper releases. Simply supply us with your client’s email address, and we’ll take care of the rest.
Advantages to XeBee e-Release
Client-Created Signatures Required
Your client will receive an email from XeBee which will contain the name and email of the team member in your firm who created the request. Should your client have any questions about the legitimacy of the link they will be able to immediately reach the appropriate contact in your office.
Once in, your client will use their fingertip to sign the form using any touch screen or they may use a mouse from their desktop PC. Because your client is recreating their own signature in a natural way and not a cursive-font “stamp” used by some e-signature services, the acceptance rate from medical facilities is substantially improved.
Ideal for Mobile Devices
Clearly, most people are using mobile devices for more of their routine and official tasks. Therefore, our form as been optimized to work best with small screens. In fact, these devices are actually the preferred way to view and sign the XeBee e-Release.
Minimizing Mistakes and Delays
Although we are using the email address as entered by your office, there exists the possibility of a typo which would result in the release going to the wrong recipient. To prevent unintended access, we have inserted a security pre-check into the process. When your client receives the email from us with the link they will need to enter their DOB to access the form. If there is mismatch your client will see an error message asking them to get in touch with your office right away. Because we provide the name and email of the person in your office who created the request your client will know exactly who to contact.
Apart from security, the other advantage of this process is that if there is a discrepancy between the client’s DOB and what is in your firm’s system then this early check allows the mistake to be a caught and corrected. Not doing would result in easily preventable request rejections from medical facilities.

Web Application
XeBee’s customer web app is simple, intuitive, and friendly. It will allow you to: easily create new requests – including a convenient “ER Package” feature, track your requests from creation to completion, view follow-up notes, send messages to us, access a provider-specific authorization library, examine up to the minute costs, download records, view radiology films, and many others features.
Online Radiology
XeBee hosts radiology imaging online. When we receive a CD from a medical facility or copy service, we upload those images and reports to our secure database. No special software is required because the viewer is web-based. You can exchange the images with others such as opposing counsel, an insurance adjuster, or expert. Alternately, you may download and burn them to a CD or copy to a thumb drive.

Case Cost vs. Overhead Expense
One of the many reasons for using XeBee to gather your documents is that doing so allows you to bill records retrieval fees as another case cost. Rather than non-billable office overhead, your records collection activities become third-party billed expenses – precisely the same as you do with an expert, investigator, or exhibit creation.

Attorney Liaisons
Every customer of XeBee is assigned an Attorney Liaison. The name, phone number, and email address for your firm’s liaison is prominently displayed when you log into our web application. So, you’ll always know exactly who to contact for any questions related to your account.
Real-Time Updates and Costs
Our user-friendly web application, equipped with cutting-edge medical records retrieval software, empowers you to review your requests in both global and granular detail. Each request is meticulously tracked under a unique ID, and all information is fully documented and updated in real-time. This ensures that you always know exactly what is happening with your requests as they progress toward completion. You may also send a note to our team at any time through the Request ID page.
OCR Searchable Text
XeBee uses a highly advanced OCR (Optical Character Recognition) workflow system to process all documents quickly and accurately. Exported files then have an applied OCR layer which makes each document easily searchable. This is especially useful when seeking keyword and phrases in large documents – saving you valuable time.
Certification of Records/Affidavits
Many of our customers require an original notarized Affidavit of Records or a Certification of Records. Simply let us know what you need when creating your request and we’ll take care of the rest.
Provider Fees and Invoicing
Naturally, XeBee purchases your clients records for you, whether they are paid on a Net-30 or as a prepayment. Costs then appear on a conglomerated invoice broken out alphabetically by client with each client having their own page. This makes it easy to separate the invoice for filing under each case. You are also provided with an Excel spreadsheet. If you prefer, we can send other files types for you to easily load into your case management system.
Secure Electronic Records
XeBee Records is involved in the business of protected health information (PHI). We are committed to providing a secure environment where your client’s personal information cannot be compromised. We have partnered with Microsoft Azure to bring our customers a secure cloud-based records repository.
Azure gives us the ability to electronically store medical records in a secure environment, while giving you the convenience of accessing your client’s medical records 24 hours a day, 7 days a week.
